Choosing rentals is a very important part of wedding planning. Wedding rentals consist of everything from tents to catering equipment.  Before you visit a rental company, it’s best to create your vision and determine a budget. Then hire a trustworthy and well known rental company that will pay attention to the details for you!

We want to thank Maxine Brown of Grand Central Party Rental for sharing the things you should consider when choosing rentals for your wedding.

Tents

Tents by far will be the most expensive rental you may need.  Tents are great for having a back-up plan in inclement weather, but they’re also a necessity at most outdoor weddings.  Tents not only provide shelter from the rain, but they will keep your guests comfortable from the sun and wind.  Tents also create a festive atmosphere.

Tents come in two basic styles.

A pole tent is a pretty, white tent with a center pole in the middle of the tent.  This creates the desirable center peak above the tent.  The pole tent is a classic look that everyone loves.  Keep in mind, pole tents must be staked, therefore they will need to be set up on grass or gravel. Pole tents are not only beautiful; they are a great option for the budget conscious bride.

Frame tents are an elegant choice for your wedding. They have a freestanding frame that doesn’t require a center pole for setup, making them more versatile when it comes to space. Frame tents can be staked in grass or gravel or weighted on concrete and asphalt.

Tents come in many shapes and sizes.  Don’t forget about clear top tents!  Clear top tents are beautiful during a dusk wedding and allow natural light to come through the top and allow your guests to enjoy the moon and stars, like your fairy-tale wedding day!

Don’t forget the extras for your tent!  Tents can complete your vision with string lighting, chandeliers and draping.  You may need heating or cooling for climate control.  Be sure to check with your rental company about the extras.  They will guide you on what will look the best and what will work best for the space and for your needs.

Table and Chairs

Tables and chairs are part of your decor, especially when it comes to your wedding day! There are various sizes of tables.  Be sure to speak with your rental company about which tables will best suit your needs and your guest count.  You may need to consider buffet tables, the sweetheart table, gift tables and the dessert/ cake table.  Don’t forget about your linens.  Linen selection is just as important as the table.  Be certain that you choose the right size linen for the perfect fit!  Your rental company should be able to provide you with a color swatch to make your selections easier.

Yes, chair selection matters.  There are many options for chairs at your wedding.  Do you want folding chairs?  Do you want a padded seat?  What color chair would you like?  Do you need the rental company to set up chairs or take them down?  There are many details!  Your wedding planner can help you narrow down the details or you can schedule a showroom visit with the rental company to make your selections.

The Tablescape

The tablescape may be one of the most important decisions you will make when it comes to rentals.  The tablescape will complete your wedding vision.  The linen color is only the start of creating your tablescape.  Your china, glassware and flatware will come in different styles and colors. Don’t forget your napkins or your centerpieces!  The florist may provide some of the centerpieces, however your rental company may have a variety of options as well. Be sure to ask about centerpieces when visiting the showroom.

Dance Floor

Do you need a dance floor?  Most rental companies carry several styles and sizes for you to choose from.  Not every bride will need a dance floor, especially when the venue has plenty of space. However, be sure to think about the dance floor, especially if planning an outdoor wedding.

Other Rentals

There are other important rental items to think about.  If you’re planning an outdoor wedding, do you need restrooms?  What about catering equipment such as chafers, dispensers, utensils, coolers or hotboxes? Check with the caterer to see if they provide these items or need additional tables. Don’t forget about the bar!  Will your bartender provide their own bar?  Will you need to rent one?

How to Choose the Right Rental Company

Deciding which rentals you need for your big day can be overwhelming, but it doesn’t have to be.  Be sure to choose the right company for your rentals.  Is your rental company knowledgeable?  Are they insured?  Do they have everything you need? Are they easy to get in touch with?  What about delivery and setup?  The company you choose for rentals should do everything to make wedding planning easier for you!

Your wedding is your vision! Enjoy every moment in creating the perfect day!
