Booking the right live musician or band for your wedding can take your celebration to the next level, but it’s important to ensure that the act you choose aligns with your vision for the day. To help you make an informed decision, here are 24 essential questions to ask before you hire a musician or band for your wedding, covering everything from performance style to logistics.

  1. Are you available on my wedding date?

This should be your first question to ensure the musician or band you’re considering is available on your big day. Popular wedding musicians often book months in advance, so it’s important to secure their services early.

  1. What experience do you have performing at weddings?

Professional wedding musicians are experienced in tailoring their performances to the atmosphere and needs of a wedding. Ask about their past wedding gigs to ensure they understand how to adapt their music and presentation for such a special occasion.

  1. Can you provide samples of your live performances?

It’s essential to see and hear the musician or band in action. Request video recordings or even live links of their performances at weddings or other events.

  1. How do you make sure your volume is the right level?

A pro will propose getting to the space before guests arrive to do a “sound check”, during which they’ll make noise for a few minutes and ensure that volumes and mix are appropriate for the space, ambiance, and number of guests.  Someone with less experience will not do this sound check and simply wing it during the performance, which can lead to your musician tweaking settings and making unappealing noises in front of your guests, which can be distracting and not especially entertaining!

  1. What is your setlist like?

Ask to see a sample setlist or discuss the genres and style of music they typically play. A seasoned performer will be adaptable, able to play multiple genres, and happy to customize the setlist based on your preferences.

  1. Can you accommodate specific song requests?

A pro will generally be able to say yes to this, provided 1) the song is not outside the musician’s area of expertise (e.g. asking a top 40 cover artist to play a jazz or classical standard), and 2) you’ve given ample notice.  In fact, assuming you’re booking a wedding musician at least a month in advance, it is reasonable to expect the musician can learn 3-4 custom song requests to ensure your day is extra special!  Also, don’t hesitate to ask the musician, or perhaps the singer if working with a band, for a recorded sample of a song you’re hoping to hear.  This is a great way to ensure that the musician has the right style and level of talent to live up to your wedding day expectations!

  1. Do you take breaks during your performance?

A pro will be upfront about this, if they feel breaks are needed.  Longer sets can be taxing physically, so it’s not uncommon for a musician to need a break to ensure he or she can sustain a quality performance.  But it’s important to know this in advance so you can work out a plan with the musician to ensure there is music playing during these breaks.  Someone with less experience may not mention this up front, which could lead to your guests unexpectedly being without music.

  1. How long do you typically perform for?

Clarify the duration of the performance. Some musicians offer flexible time slots, while others have set durations. Be sure their timing aligns with your event schedule.

  1. Do you have a backup plan in case of technical issues or emergencies?

Unforeseen problems like equipment malfunctions or illness can arise. A professional musician will have a backup plan in place—whether it’s backup equipment or a substitute performer—so your wedding music won’t be interrupted.

  1. What equipment do you bring with you?

A professional musician or band should bring all necessary equipment, including instruments, microphones, speakers, and lighting if applicable. Ensure that everything is included in the price and that it’s suitable for the venue size.

  1. Do you have insurance?

Many venues require performers to carry liability insurance. Ensure your musician or band is fully insured to avoid any last-minute complications.

  1. Are you able to perform outdoors?

Outdoor weddings are popular, but outdoor performances come with their own set of challenges, such as weather, acoustics, and power sources. Ask if the musician is comfortable performing outdoors and whether they have the necessary equipment for these conditions.

  1. Do you offer MC services?
